The meeting was called to order at 1 p.m.

  1. Welcome new committee member Carolyn King from Mathematics & Computer Science.
  2. Approve minutes from Bylaws Committee meeting on Dec. 4th, 2024
  3. EQLD renaming update - the motion passed unanimously at Senate https://www.qcc.cuny.edu/governance/academicSenate/sc/minutes/December-2024.html
  4. Finalize a standardized Bylaws template for the other committees to use when proposing changes – Many thanks to Adam Volin and Lois!

web-based submission form (preferred) vs fillable PDF (not preferred): the form can be found here https://qcc.cloud.processmaker.net/webentry/81/bylaw_Change_Request

There was discussion about improvements to make to the online form. It was requested that the Rationale box below the current and proposed could be multiplied. However, for simplicity it was decided that one Rationale box remains but the instructions request the text have numbers that connect to each item.

In addition the text below the current and proposed changes should provide more details.

Lois requested making instructions clearer. 1) Enter the original text in the “Current” column.  (2) Copy and paste the text into the “Proposed” column and make the changes in that column. Deletions/strikethroughs are made by (a) highlighting the text, (b) clicking on “Paragraph” in the dropdown menu, (c) clicking on “Inline” and then (d) hovering over the option “strikethrough”.  You can then delete the highlighted text and insert the new language. The plus and minus signs to add or remove also need short explanations. Sujun worked further to simplify the text and will forward to Adam to make the edits.

  1. Sujun is proposing we have a committee email address. 2 options:
  • Option 1. A distribution list – this is an email address that sends/forwards emails to members of the list. Who is updating the list? We need to find out from IT.
  • Option 2. A shared mailbox – this is an email address that has its own inbox and can also be used to send email from. The person in charge of the committee monitors this email. This is preferred.

Respectfully submitted by:

Rondi Davies
