Committee Meeting Dates

The Awards and Scholarships Committee met three times (Dec 11th, May 20th and June 10th) during the academic year 2019-2020 to evaluate and recommend nominations for awards and scholarships.

Narrative summary of committee work

Accomplished Items: The committee reviewed a total of 277 applications/nominations. This includes 96 Continuing Academic Merit Scholarships reviewed in May for the Fall 2020 semester.

A. Special Awards: 4 recipients chosen out of 12 applicants

  1. *John F. Kennedy Memorial Award ($750) – given to Biling Chen and Diane Cadena (out of eight nominees), graduating students who have demonstrated outstanding leadership in the college and the community.

  1. *Martin Luther King Jr. Memorial Award ($750) – given to Joseph Distl and Melika Mothena (out of four applicants), graduating students who has demonstrated exceptional leadership in promoting racial harmony and appreciation of cultural diversity.

* The president’s office handles the JFK and MLK awards- the recipients’ names are printed in the commencement book and they are mailed a check, a certificate and a letter. The president’s liaison on the committee, Veronica Lukas, sends the information to Millie Conte of the president’s office. Generally, the JFK and MLK awards are each given to one recipient, but due to the equally outstanding and deserving contributions of the applicants, the committee reached out to President Dr. Timothy Lynch and he has accepted the committee's recommendation for the Special Awards of recognizing four students - two for JFK and two for MLK.

B. Continuing Student Academic Merit Scholarship

This scholarship is given to current and continuing students who have demonstrated outstanding academic performance (a minimum cumulative GPA of 3.25 required). In the Fall 2019 semester awards of $1,000 each were given to 46 new and continuing students.  The committee reviewed 83 applications from continuing students (22 recommended, 58 pending, 3 rejected). The applications of the qualifying incoming Freshmen are not reviewed by the committee. In the Spring 2020 semester awards of $1,000 each were given to 101 students (new applicants as well as Fall 2019 applicants qualifying for continued funding in the Spring). The committee reviewed 86 applications for the Spring 2020 merit scholarship (51 recommended, 31 pending, 4 rejected).

*Includes applications not reviewed by the committee

See Appendix 1 for data on all Awards and Scholarships offered by the college during 2019-2020

Accomplishments

  1. The committee reviewed 169 Continuing Academic Merit Scholarship applications, compared with 166 reviewed in the previous year. We had 147 students receive a merit scholarship of $1000, up from 140 the previous year.

  1. The list of final recipients of awards was received in digital format by the chair on August 11th from Charles Petz, Database Manager, Office of Institutional Advancement.
  1. The committee is again able to report on all of the awards and scholarships offered by the college and their dollar amounts (see Appendix 1). The data was obtained from Charles Petz.
  1. On September 25th, 2019, Ewa Stelmach along with Sujun Wei, attended the meeting of the Chairs and Secretaries hosted by the Academic Senate Steering Committee. During the meeting they received hands-on Cascade training for uploading committee minutes, agendas, and reports to the college website.

  1. On April 15th, 2020, Ewa Stelmach attended a virtual Chairs Meeting of the Academic Senate. Ewa was introduced to the new Web template for Annual Reports.

  1. With help from David Moretti, Ewa Stelmach successfully posted current year minutes and agendas as well as the annual report for the 2018-2019 year and the 2019-2020 year onto the college website using the new web template introduced at the April 15th meeting.

  1. Academic Merit Scholarships: The committee revised the essay description because the committee was not quite satisfied with the quality of essays submitted. The committee also revised the grading rubric. See Appendix 2 for the details of the rubric.

  1. During the May and June meeting Veronica Lukas shared files with the committee through Dropbox. This saved a lot of paper and ink and well as tedious work for the staff.

Challenges

  1. Obtaining data for the annual report of the committee in a timely manner could be more efficient.
  2. Posting documents in the new format onto the college website was a challenge for the committee but as we move forward, we should have less complications.

Recommendations / To Do

  1. There continues to be a need for reception of award information in a timely manner. The committee chairperson should receive the list of final selections of awards and scholarships reviewed by the committee as soon as the final choices are made to prepare the report.

  1. Posting past documents onto the college website is still a work in progress.
  2. Committee needs to receive an electronic copy of the committee guidebook, update it and fix the broken link on the college website.

  1. Announcement for Spring 2021 Continuing Student Academic Merit Scholarships should include new updated essay description.

  1. Additional awards:

Idea of creating new institutional or departmental awards since the eligibility of the Special Awards is very limited. (see annual report 2018-2019) This needs follow up.

  1. Dates for advertising or soliciting applications and recommendations for awards and scholarships:
  • The Spring 2021 Continuing Student Academic Merit Scholarships need to be advertised early in the Fall 2020 semester. Ideally, the committee should meet in December 2019 to vote on these.
  • The Fall 2021 Continuing Academic Merit Scholarships and Special Awards need to be advertised in April 2021. Ideally, the committee should meet in May 2021 to vote on both of these.

Acknowledgements

Thank you to all members for a productive year. Your work and timely evaluations of applications are highly appreciated.

Sujin Wei did a great job as a secretary of the committee. He attended the Cascade training for uploading committee minutes, agendas, and reports to college website with the chair. He is very thorough in evaluating applicants. Anissa Moody has provided valuable feedback and greatly contributes to the discussions of candidates. Per her suggestions, the committee sent recommendations to the President to recognize more students for Special Awards, which were approved. Benjamin Miller continues to provide great assistance as an English Professor in the evaluations of essays and is detailed in his evaluations. Benjamin Miller and Wei Lai initiated the new updated essay description to guide students in writing attentive essays. The new essay description will be used for the next scholarship announcement. Wei Lai provides valued insights during the review of applicants. Alfred McDonald is very diligent in his evaluations and always ask relevant questions about the evaluation of applicants and offers a great input.

The committee would like to give special thanks to Veronica Lukas and her staff for their work throughout the year by reserving the meeting room, advertising the awards, and compiling and reviewing all the applications.

The committee would also like to thank Dave Moretti for his guidance in submitting the committee’s documents and fixing the glitches on the college website.

Special thank you to Christopher Roblodowski for his guidance and support in helping Ewa Stelmach transition from being a member of the committee to the chair of the committee.

We would like to acknowledge the outgoing member Anissa Moody for her service on this committee.
