Admissions Committee Addendum
*Subject to change upon committee members’ suggestions.
- Meetings & Meeting Preparation
- 4-5 times per semester including once during winter session and once during summer session, Committee members will receive applications to review at least one week in advance of the group meeting. Members will each vote “yes,” “no,” or “undecided.” Chair will tally votes prior to the group meeting. This should take approximately 2-4 hours.
- After individual review, Committee members will meet as a group to review applications that did not have a majority vote. The Committee will take a deeper look at the applicant’s information and then come to a majority decision. The Committee will meet 4-5 times per semester including once during winter session and once during summer session.
- Application Review Guidelines
- The Admissions Committee Administrative will send the Committee a link to a dropbox that includes the following:
- A folder that has all applications
- A Google Sheets document with
- names of applicants
- columns on the right where votes can be placed by each committee member during individual review (i.e., accept or deny)
- comment column for concerns, questions, recommendations (what courses to repeat; wait to be eligible for Academic Fresh Start; consider change of major; and/or denial explanations)
- GPA calculator document provided by IT
- Note: This document should not be the only thing to consider when making a decision, but it is helpful to know if the student has a chance to graduate.
- Transcripts
- Graduation Audit document
- This is conducted for applicants who have excessive credits. Registrar will calculate if the student is able to use the Repeat Policy and still be able to graduate. Often, if the Graduation Audit states that the student cannot graduate, the Committee will defer to the Registrar’s recommendation. If the Graduation Audit states that the student has the potential to graduate, the Committee must still consider all other pertinent information.
- The Admissions Committee Administrative will send the Committee a link to a dropbox that includes the following:
- What to look for:
- Applicant Statement
- It is expected that readmit applicants explain what happened that led to their dismissal; what they have done while they were dismissed to help them get back to QCC; and, what they will do differently to increase their GPA.
- Supporting Documentation
- Any materials that will increase their chances of being readmitted such as doctor’s note. This is especially helpful for students who have attempted more than 30 credits.
- Transcript Considerations
- Consider the Academic Fresh Start program when the student has earned mostly F grades in courses that the student doesn’t need for their major.
- Consider Repeat Policy when the student has earned many grades lower than D+. The Repeat Policy can only be used for up to 16 credits. In order to use the Repeat Policy, the student must have initially earned a D+ or lower. The student must earn a C or better in the repeated section. If the student repeats the course and gets below a C grade, the Repeat Policy cannot be applied. In this case, the student’s GPA will factor in an average of both grades.
- Consider whether repeating a few courses can increase the student’s GPA above 2.0. If the student has many courses to repeat in order to increase their GPA, especially if they don’t have a convincing explanation, this may not be an ideal candidate for readmission.
- Consider how many times an applicant has already repeated a course in order to decide if it is likely that the student will pass in the future.
- Consider the student’s major when looking for patterns of where the student struggles. Would the student benefit from a degree program change?
- Applicant Statement
- Making Recommendations:
- We can recommend
- specific courses to repeat;
- a credit limit of 3 or 6 credits – no more than 6 credits is the default;
- that upon reentry, students should seek counseling services, tutoring, advisement, career counseling, OAS; and/or,
- they consider the Academic Fresh Start program.
- We can recommend
- In order to make informed decision the Committee members should be familiar with
- how to read a transcript;
- the Academic Fresh Start program;
- the WU policy as of Fall 2021;
- importance of a graduation audit;
- the Repeat Policy;
- graduation eligibility; and,
- the student’s statement.
