Administrative Assistant/Receptionist

Description: Responsible for facility management, making sure the facility runs smoothly on a dat to day basis, including coordination with the building and internal employees, fulfull facility maintenance requests and keeping the work space nice and clean. Perform on-going vendor management including products or service purchasing, vendor scorecard development and management, monitoring contract execution, fulfill internal business needs through working with vendors. Help with administrativr work including preparing accounts payable related paperwork, organizing executive meetings, taking meeting minutes, prepare reports and memos, write up correspondence, mail and package distribution and etc. Responsible for daily visitor reception. Answer main line for the New York Branch and route calls on the telephone system to appropriate Branch employees. Work with third party service provider for proerty management, including service monitoring, invoice validation and on-going property maintenance issue resolution. Assist General Office and Human Resource Department with corporate evens organization throughout the year. Perform other administrative work as assigned. This exciting position at the New York Branch will report to the Deputy Head, General Office. Bilingual Mandarin and English a must.

Special Skills & Requirements Native Mandarin speaker a must. At least one year work experience in a similar role (experiance with international bank preferred).Associate's degree or Bachelor's degree preferred. Excellent communication and writing skills required. Interpersonal skills and ability to interact and work with staff at all levels. Commitment to both external and internal customer service. Must have ability to multitask in a constantly changing fast-paced environment. Strong organizational and analytical skills. Goal oriented, motivated self-started with good problem-solving skills. Proven experience in working in a team environment and seen as a strong team played. Keen attention to detail, professional demeanor and the ability to exercise good judgment/ Ability to project a professional image over the phone and in person. Willingness to take initiative. The ideal candidate will be an energetic, confident, reliable, and outgoing person. Must be comfortable with working in a multicultural environment and willing to learn. Ability to work overtime/evenings when necessary. This position offers an opportunity for professional growth within the Bank.
