Volunteer Coordinator

Description: Bike New York is seeking a seasonal Volunteer Coordinator for January 2018 – May 2018. Reporting to the Events Volunteer Manager, the ideal candidate will be highly organized, efficient, personable, and share the organization's ambitions for bicycling. Special Skills & Requirements RESPONSIBILITIES: Under the direction of the Events Volunteer Manager and indirect supervision of the Director of Events, the Volunteer Coordinator assists with the planning and execution of the TD Five Boro Bike Tour and assisting with Bike Expo New York. Duties include but are not limited to: Planning - Assist Events Volunteer Manager with creating the Volunteer protocol for the Tour, including an expanded check-in/check-out procedure and equipment plans. Communications - Assist Events Volunteer Manager in responding to volunteer inquiries/leads for the Tour, communications relating to volunteer application and approval process, and general volunteer info. Prepare written materials for Volunteers such as orientation packet, medical and command communication protocol, zone reference materials, and credentialing. Database Administration - Approve applications and assign volunteers to best-suited areas for Tour. Track recruitment and assignment information in database. Equipment - Develop and coordinate the Volunteer equipment, distribution lists, trucking and staffing plans, and inventory the equipment post-Tour. Tour Day - Manage equipment distribution, load-in, load-out, trouble-shoot logistical issues, assist the Events Volunteer Manager Recap - Assist Events Volunteer Manager in post-event follow-up and reports, including attendance, volunteer participant survey; debrief reports, and other analysis relating to the Tour volunteer program. REQUIREMENTS: Must be available for orientations that include week nights and weekends, as well as be available for the weekend of the 2018 Tour & Expo May 4-6 Education: Bachelor's degree preferred but not required. Minimum of 2 years of experience in Volunteer and/or Event Management Knowledge of Microsoft Suite, including Excel and Power Point. Excellent interpersonal and written communications skills; experience with volunteers preferred Familiarity with the TD Five Boro Bike Tour and/or other cycling events preferred Must be organized and detail-oriented, with ability to work in fast-paced and high-stress situations Willingness to take on additional tasks as needed to ensure the success of the TD Five Boro Bike Tour and Bike Expo New York. Bilingual abilities a plus Familiarity with Cervis volunteer management software a plus.
