Administrative Assistant II

Description: • Coordinate meetings for Executive Director and Directors; set-up and provide support for training and other organizational events; assist with coordination of project team staff activities and meetings; make conference and travel arrangements; research and prepare correspondence, reports, and project materials of a confidential nature; communicate with sponsors, internal project departments, Research Foundation and University offices, vendors, and the public. • Compile, submit, and track quarterly reports, and other reports as needed. • Maintain and update various Microsoft Excel spreadsheets, Microsoft Access databases, and Visio charts to support project needs; create new spreadsheets and/or reports as required. • Review invoices and prepare purchase requisitions. • Maintain supplies inventory and reorder items as needed. • Assist in provisioning new hire services and coordinate all telephone requests with University Telecommunications. • Prepare and submit university work orders and coordinate printing and mailing of PDP's biannual newsletter. • Scan and file confidential materials, and update information on the PDP intranet as needed. • Other duties as assigned.

Special Skills & Requirements • High school diploma and four years of progressively responsible office experience. • General administrative support experience. • Strong commitment to maintaining confidentiality and modeling professionalism. • Excellent ability to demonstrate initiative, manage, prioritize and complete numerous tasks within established deadlines, attention to detail, and work both independently and as part of a team with minimal task by task supervision. • Strong commitment to providing excellent customer service to both internal and external constituents. • Demonstrated experience and strong commitment to accuracy in working with databases, spreadsheets, and electronic files, performing data entry, using and developing templates, setting up and completing mail merges, preparing and running reports, and preparing forms and correspondence. • Proficiency with computer software, specifically Microsoft Office (Outlook, Word, PowerPoint, Access, Excel, and SharePoint) including the ability to format documents of a complex nature. • Excellent interpersonal and telephone skills. • Excellent written and oral communication skills. • Applicants must address in their applications their abilities to work with a culturally diverse population.
