Special Events Intern

Description: The Special Events department is responsible for creating, managing and coordinating our internal and cultivation events throughout the year. • Assist with phone calls and follow up to vendors, donors and sponsors of events • Assist with managing and coordinating volunteers for events • Assist Special Events Manager with creation of event reports, save-the-date invitations, sponsor packages, etc. • Coordinate sponsorship packages mailing • Create, coordinate and log all auction items, certificates, bid sheets, description sheets for silent and live auctions • Follow up with past vendors, restaurants, sponsors, donors, attendees to be part of this year’s events • Event preparation: gather and set up inventory supplies, arrange transportation and assist with set up and clean up at venue • Assist with special “thank you” mailings after events which include sending out copies of programs, plaques and wish books) • Post event follow-up with auction item winners to arrange for shipping and payment • Assist with calls in the office about tickets, general event questions, auction item donations, updating charts, updating reports from payments and website, and sponsorship questions • Perform clerical functions such as filing, typing, data entry and copying using office equipment • Special projects and other duties as assigned Time Frame: Fall/Winter, Winter/Spring, Summer Semesters Time Commitment: Minimum – 2 days a week during business hours (Monday – Friday/9am – 5pm)

Special Skills & Requirements Education and Experience for all positions: Must possess good verbal and written communication skills. Must be computer literate with working knowledge in Microsoft Word, Excel, data entry, the internet-Adobe knowledge a plus. Good organizational skills. Bilingual English/Spanish a plus.
