OFFICE COORDINATOR

Description: • Assist with various clerical and administrative tasks for administration department, i.e. data entry, filing, faxing and scanning • Provide backup support to the receptionist and administrative assistants on assignments as needed • Office services functions — copying, scanning, messenger services and file organization • Assist with document scanning, profiling and retrieval • Assist with maintenance of the office library • Perform bank runs and file bank deposits • Occasional local travel required for offsite errands • General office, conference room, reception area(s) and café/pantry maintenance • Profiles the scanned documents along with ECF’s using the firms DM system and DM Converter Ensure documents are appropriately assembled and quality checked for filing and service • Creates files (red welds) as a new matter opens and file documents accordingly • Other administrative tasks as requested by attorneys, paralegals and administration • Process check requests and expense reimbursements • Maintain coverage calendars, schedule appointments, meetings and conference calls • Maintain and update office, vendor, and employee contacts in MS Outlook • Coordinate travel arrangements as needed • Coordinate catering, food and beverage set-ups, and visitor access for meetings • Data entry — building engines, financial system, records system • Work with various firm administrators on projects and requests (Business Development, IT, Library, Finance, Administration, etc.) • Manages the day-to-day scanning of mail/records and data entry support activities of the office • Reception duties - answer phones, greet clients and visitors, hospitality setups • Respond to a high volume of phone calls; transmit messages accurately and promptly • Perform other duties as assigned

Special Skills & Requirements • Proficient with PC skills, scanning and imaging of legal documents • Strong analytical skills and the ability to multi-task • Ability to communicate effectively orally and in writing • Ability to work with diverse personalities within various levels of the organization • Exercises sound and independent judgment when necessary • Ability to manage time efficiently and work independently • Participates as an active team member and shares workload and workflow • College graduate preferred • Excellent interpersonal, client service, and listening skills • Minimum typing speed 65 wpm • Must be able to function effectively in a fast-paced, team oriented environment
