Executive Administrative Assistant

Description: • Act as the point of contact between the CEO, other executives and internal/external clients • Perform all administrative tasks for the Office of the CEO and serve as site administrative support for our NY office • Handle requests and queries appropriately, whether written, by phone or in person • Maintain Calendar, arrange meetings and appointments and provide reminders for CEO • Make travel arrangements for CEO and other executives • Responsible for expense submission and reconciliation • Take minutes and compile written documentation accurately enter data • Monitor and manage office supplies • Produce reports, PowerPoint presentations and briefs • Develop and carry out an efficient documentation and filing system • Coordinate onsite logistics for General Information (All Employee) Sessions and other NY events. Ensure CEO and other executives arrive per schedule and coordinate pre-briefing with SVP of Communication or HR • As needed, serve as project coordinator, ensuring all elements of event/project/communication occur

Special Skills & Requirements • 5 – 7 years proven experience as an executive administrative assistant or in other secretarial position(s). Senior level support experience preferred • Full comprehension of office management systems and procedures • Strong computer and Internet research skills, including working knowledge of MS Office • Exemplary planning and time management skills • At least 1 – 2 years project Coordination experience • Flexibility in a challenging work environment • Ability to multitask and prioritize daily workload • Excellent interpersonal and customer relationship skills • High level verbal and written communications skills • Ability to work well with all levels of internal management and staff, outside clients and vendors • Discretion and confidentiality • Post-secondary degree in business or related field is desired; additional qualifications as personal assistant would be considered an advantage • Integrity and focus on compliance in reporting, financials and policies
