Project Staff Assistant

Description: • Supervise Program Support Unit staff, coordinate staff assignments, and manage unit projects including staffing requirements, time and attendance. Respond to staff needs and assist in problem solving. • Develop and maintain program databases, analyze and track data; communicate with public sector regarding project goals and deliverables; gather data from various sources and conduct studies as directed. • Manage specialized program participant renewal process including database administration, correspondence, phone calls, and respond to program related issues. Oversee registration and other unit databases. • Draft, process and manage correspondence; manage logistical aspects for specialized training program offerings. Assist in the scheduling and implementation of project related training. • Gather and analyze data for periodic and ad hoc sponsor required reports; review and respond to all incoming email for the program. • Work with program data management staff to modify reports, queries and logic as needed; provide graphics, formatting and proofreading of program training materials. • Research and prepare correspondence, memoranda, reports and program materials of a complex nature. • Manage project materials inventory; contribute to the preparation of reports including Quarterly and Annual. • Other duties as assigned to meet contract requirements.

Special Skills & Requirements 1. Bachelor's degree from a college or university accredited by USDOE, or an internationally recognized accrediting institution in a related field. 2. Two years of experience supervising staff in administrative roles. 3. Two years of relevant administrative work experience. 4. Ability to manage, prioritize and complete numerous tasks within established deadlines. 5. Attention to detail, and ability to work independently and as part of a team. 6. Ability to work with a culturally diverse population. 7. Ability to sit for several hours and the ability to lift and carry 20 lbs on a regular basis. 8. Experience with Microsoft products (Word, Excel, Access, and SharePoint). 9. Demonstrated ability to provide exceptional customer service.
