Administrative Assistant/Bookkeeper

Description: ESSENTIAL DUTIES AND RESPONSIBILITIES Core duties and responsibilities include the following. Other duties may be assigned. Estimating and Project assistance - Creation and maintenance of electronic folders - Change Orders – manipulating spreadsheets and Timberline entry - Sending, receiving and tracking of submittals, drawings and RFI’s - Bid List – maintaining spreadsheet and creating Outlook tasks - Downloading drawings from FTP websites - Pickoff – plotting and highlighting drawings Inventory and Tool Management - Timberline data entry - Tracking of damages & repairs - Purchasing of stock, tools and Project related equipment and materials - Verification of packaging slips with Purchase Orders - Invoice entry with vendor follow up on pricing & discrepancies - Assisting with Monthly & Quarterly Inventory Reconciliations General - Answers phones, takes messages or fields/answers questions - Responsible for general filing - Performs data entry; manipulates Excel spreadsheets and Adobe PDF files - Type correspondence - Provide assistance to Office Manager with Payroll and HR functions

Special Skills & Requirements EDUCATION AND/OR EXPERIENCE Bachelor's degree from a four-year college or university; or more than 5 years related experience and/or training; or equivalent combination of education and experience in the construction and/or manufacturing industry. COMPUTER SKILLS To perform this job successfully, an individual should have knowledge of: Timberline, MS Office including Outlook and Adobe Acrobat. Friendly, courteous, service-oriented, professional, outgoing, and customer service oriented. Must be able to work independently and productively with minimum supervision. Must be able to handle details with precision and thoroughly complete tasks given in a timely manner. Recognize problems, identify possible causes and resolve routine problems. Ability to establish and maintain professional atmosphere for employees, clients and customers. Prior experience successfully managing multiple requests, changing focus, assessing priorities and achieving solutions under deadlines.
